Reservations & Sales Associate
The Reservations & Sales Associate is responsible for lodging and full-service reservations, guest services, responding to inquiries, answering telephones and booking vacations. It is essential to know the properties, guest services and general office operations. The Reservations & Sales Associate must be able to manage their time while facing frequent distractions and interruptions while meeting deadlines.
This position is a highly focused customer service role and requires strong interpersonal communication skills (both written and verbal) in interacting with guests, senior-management, vendors and all Moving Mountains employees and contractors. The Reservations & Sales Associate must be able to handle a high pressure work environment while maintaining a high standard of service, able to type at least 40 words per minute, proficient with Microsoft Word, Excel and Outlook, and a local knowledge of Steamboat Springs. Previous Reservations experience required.
Major Functions & Primary Responsibilities
Sales/Reservations
- Provide thorough information to guests so they can outline their vacation.
- Proficient with all aspects of selling the Full-Service catered package and services offered by Moving Mountains. (eg; what is included, how it works, why this is a great selling proposition)
- Complete lodging reservations for all Moving Mountains properties including email quotes, phone sales, follow up calls and online reservations.
- Possess a comprehensive knowledge of all Moving Mountains rental properties; bedding configuration, amenities, location, size and sales attributes.
- Accurately document all guest communications.
- Convert inquiries into reservations and up sell to full-service catered package.
- Understanding business patterns needs and placing clients in the best home for them in correlation to company and homeowner needs.
- Competently cross-sell properties to clients based on matching client needs to what is available and what we want to book to them.
Guest Services
- Monitoring of guest feedback and finding solutions within the Moving Mountains team and homeowners to solve complaints.
- Timely responses to guest questions and providing quotes in a proper and professional manner.
- Communication, service orientation and ability to understand and meet the guests needs or answer their questions during the entire process of booking, pre-arrival preparation, during the guests stay, check-out and post check-out.
- Solid ski industry and local Steamboat knowledge to answer a wide range of questions from guests
Booking Procedures
- Proficient with office procedures with regards to invoicing and billing for all services provided by Moving Mountains.
- Maintain accurate filing system for all documentation and booking information
Knowledge, Skills and Abilities
- Knowledge of local activities and events.
- Knowledge of Ski Industry & Luxury Vacation Market.
- Excellent verbal and written skills when fielding phone calls and responding to email inquires or providing reservation quotes.
- Ability to work with a diverse clientele
- Self motivated, strong initiative and ability to work independently
- Multitasking
- Meticulous record keeping, documentation of client contact and accurate data entry
- Comprehensive knowledge of office computers and software including RDP, Rez-Stream, ACT!, Excel, Word, Outlook
Education, Training and Experience
Formal education or equivalent:
- BA in Tourism, Recreation, Hospitality or Sales
- 2 Years experience in luxury hospitality or sales in a luxury market
Prior experience required:
- Previous Reservations experience and/or hospitality industry experience in a luxury market
- Ski/Resort industry experience
- Local knowledge
